Summary

Deschutes County Health Services, Public Health Division is currently accepting applications for a limited-duration Operations Section Assistant. This position provides administrative support for the Operations Section of the COVID-19 Incident Management Team. The incumbent is responsible for performing a variety of administrative tasks that require intermediate computer and interpersonal skills. Essential duties and responsibilities include but are not limited to using an Electronic Health Record (EHR) system to enter, validate, and view client information associated with the services that are provided. The incumbent will receive training and be expected to routinely complete knowledge checks to insure policies and procedures are accurately attained and sustained. The incumbent will work in a fast-paced, multitasking environment that includes frequent contact with clients in person and on the telephone. The incumbent will handle the ordering, inventory, and management of supplies; Prepare routine correspondence, forms, and standard documents; Respond to requests for records and information; Data entry and running reports; Compile information, prepare and proof-read reports; and assist with special projects and general office support as assigned.

Compensation

$3,419.83 to $4,582.92 per month for a 172.67 hour work month. Excellent County benefit package when eligible. This union-represented position is available immediately.

This is a limited-duration employment position as defined by Deschutes County Code Chapter 3.08.010. The position may be terminated by Deschutes County based upon the availability of discrete revenue sources. If the specified discreet revenue source has yet to terminate, the position may be terminated by the County to fulfill its business needs, as determined by the sole discretion of the County. This position will terminate no later than December 31, 2021.

Should funding changes occur such that the position is no longer restricted by the specified discreet revenue source, the County at its sole discretion may at that later date offer regular employment status to the incumbent in this position.

This position is open until filled. The first review of applications will be April 16, 2021.


Minimum Qualifications

High school diploma or GED equivalent; AND two (2) years of administrative support experience; OR any equivalent combination of training, education, and experience that provides the required skills and knowledge to perform the job.

Preference will be given for:

  • Knowledge of Microsoft Office products including WORD and EXCEL.
  • Knowledge of EHR software, specifically the EPIC/OCHIN platform.

Must have working knowledge of:
  • General office procedures and methods.
  • Modern office equipment and software including processing, spreadsheets, databases, and electronic mail.
  • English language usage, grammar, spelling and punctuation.
  • HIPAA requirements related to client health records.

Must have a demonstrated ability to:
  • Maintain confidentiality.
  • Initiate and produce correspondence and documents in standardized formats using word-processing equipment.
  • Proficiently operate a 10-key.
  • Prepare detailed reports.
  • Work independently as well as in a team setting.
  • Establish and maintain effective working relationships with the public, Administration, and other employees at all times.
  • Communicate effectively both verbally and in writing.
  • Work effectively in a multi-task environment with multiple deadlines.
  • Be flexible in working at different locations and taking on necessary tasks as needed.
  • Prioritize, organize and carry out assignments and special projects in a timely and professional fashion with basic supervision.
  • Ability to participate in trainings for extended periods of time, retain information and demonstrate an ability to accurately implement policies and procedures with limited supervision.

Necessary Special Requirements

Possession of or ability to obtain a valid Oregon driver's license within 30 days of hire date. The employment offer will be contingent upon presentation of an acceptable and verifiable driver's license, pre-employment screening for criminal history, driving history, and controlled substances (NOTE: Positive test results for marijuana use may result in rescission of a contingent offer of employment). This screening must be completed with satisfactory findings in order for a formal offer of employment to be extended.

Physical Requirements. Must have the ability to work in an office that is environmentally controlled; possess sufficient hand coordination to perform keyboarding and data entry; arm/hand movements to retrieve work materials and operate a variety of general office equipment. The position is frequently required to sit, walk, stoop, bend, kneel, reach, stand, grasp, talk, hear, see, and lift up to 10 pounds.
