Signature Development Group -(SDG) is an in-house NC general contractor that specializes in developing and constructing our communities. With a combined experience of 89 years, our team is one of the most versatile in the business.
Our Corporate Office is seeking an experienced Receptionist / Office Manager who will provide daily administrative support to the Corporate Office. The person in this position must maintain the highest level of confidentiality, tact, and diplomacy regarding all Company information, and exhibit the ability to work with leadership contacts, employees, and vendors in a professional and appropriate manner. The position requires extensive knowledge of the policies and operations of the company and must function efficiently and effectively on behalf of the executives. -Essential Functions:I. - - - -Provide administrative support to the Corporate Office a. - - - - -Answer all telephone calls to the corporate number, direct to appropriate person; monitor voice mails and distribute messages appropriatelyb. - - - - -Monitor doors, greet and direct all incoming trafficc. - - - - -Exhibit effective interpersonal communications in person, telephonically and electronicallyd. - - - - -Exhibit professional personal image, and maintain professional corporate image in reception areae. - - - - -Manage and schedule conference rooms, coordinate attendance lists, gather materials needed for the meetings, prepare the meeting rooms before and tidy up after meetings f. - - - - - -Maintain company directory with help from HRg. - - - - -Issue building keys and fingerprint access to corporate officeh. - - - - -Ensure building and grounds are tidy and invitingi. - - - - - -Order furniture and equipment as directedj. - - - - - -Respond to internal and external inquiries on a timely basisk. - - - - -Draft correspondence, reports and employee notificationsl. Maintain supplies and inventory for office, bathrooms and kitchen areas including water, drinks and paper productsn. - - - - -Maintain supplies and handle maintenance on office equipment and facilities including copiers and postage machineo. - - Assist with copying, scanning, and report preparation as neededp. Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.)q. Assist with other duties and projects as requested by CFO, Director or Executive Assistant -General Support Functions:II. - - - - -Handle general office dutiesa. - - - - -Coordinate with HR posting of required employment law noticesb. - - - - -Coordinate with Controller posting of required business licensesc. - - - - -Scan invoices to accounting for electronic filingd. - - - - -Handle office setups for new hirese. - - - - -Maintain organization of training room closet, supply room and other supply storage areasf. - - - - -Participate in planning special events and internal holiday celebrationsg. - - - - -Prepare anniversary and birthday cards for signature and mailingh. - - - - -Order business cards as neededi. - -Roll trash and recycle cans to and from the streetj. - - - - -Remove recycle boxes between office cleanings k. - - - - -Ad Hoc reporting as directed -Education and Experience: - - - - - - - -Associates degree and at least five years' experience in office management or executive support - - - - - - - -Proficient in MSOffice Suite, SharePoint, Microsoft Teams - - - - - - - -Effective oral and written communication and analytical skills - - - - - - - -Demonstrated ability to maintain confidentiality - - - - - - - -High level of discretion, tact, judgment, and poise - - - - - - - -Ability to manage multiple assignments/projects and conflicting priorities within a fast-paced environment - - - - - - - -Professional demeanor at all times
