Job Description:

Nature and scopeThe receptionist manages the front desk during specified normal business hours and performs a variety of administrative and clerical tasks. The receptionist is usually the first point of contact for the company and duties include offering administrative support across the organization. The receptionist welcomes guests and greets people who visit the business as well as coordinate front-desk activities, including distributing correspondence and redirecting phone calls. The successful receptionist has a pleasant personality, is customer service focused, and should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. Ultimately, the receptionists duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.Requirements

  • High school diploma or general education degree (GED) acceptable; or related receptionist/front office experience and/or training; or equivalent combination of education and experience. Additional certification in office management a plus.
  • Proficiency in Microsoft Office Suite and with office machines such as fax, printers, etc. a must.
  • Must have a high level of ability to communicate effectively.
  • Must demonstrate the ability to work responsibly as a team member as well as an individual.
  • Must be honest, fair, dependable, respect confidentiality and the rights and privacy of others.
  • Practice and promote Policies and Procedures, Mission Statement, Core Values and Founding Principles.
  • Ability to represent the community in a positive and professional manner. Must have customer service attitude.
  • Must possess strong organizational skills as well as be detail oriented.
  • Ability to manage multiple priorities simultaneously.
  • Must pass criminal background check.
  • Must be able to perform the duties and responsibilities (Essential Job Functions) with or without reasonable accommodation.Essential functions
    • Participates in staff meetings and discussions.
    • Promotes a strong sense of teamwork.
    • Greets and welcomes guests immediately upon arrival.
    • Direct visitors to the appropriate office.
    • Answer, screen, and forward phone calls as required.
    • Ensure reception area is tidy and presentable, with all necessary stationery and materials.
    • Provide basic and accurate information in-person and via phone/email.
    • Receive, sort, and distribute daily mail/deliveries as needed.
    • Maintain office security by following safety procedures and controlling access via the reception desk (Monitor, logbook, issue visitor badges)
    • Maintain inventory of office supply stock and request resupply as needed.
    • Update calendars and schedule meetings as needed.
    • Arrange travel and accommodations as needed.
    • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing as required.This is a part time weekend position, with occasional weekday fill in.
